Use of continuous improvement in our own work

Remote delivery

As we regularly advise clients to update their processes with continuous improvement, it was only right that we did the same with our own. Since the increase in remote working, most of the business analysis engagements have adapted to the change with ease. However, we recently delivered a handful of process mapping workshops which put that to the test. Previously, process mapping was delivered with sticky notes and a white board, so the closest tool would be Microsoft Whiteboard. It became clear in the first workshop that this delivery method was difficult to replicate via Teams, even with Whiteboard. It didn’t feel like we delivered to our full potential and was challenging to follow the pace of client conversations.

Continuous improvement

Following the first workshop, the delivery method needed updating before the remaining workshops took place, ensuring client expectations were met. After looking around, a few online tools seemed suitable for workshops, allowing for process drawing, colour coding, and reviews. As a bonus the tool allows for additional users to access the diagram and leave their review comments.

Why this tool?

Creately is a collaboration tool which is used both online and via a desktop app. It hosts templates and diagrams for use in various tasks and projects, such as brainstorming, process mapping and SWOT analysis. Features include drag and drop, shapes, multiple users for collaboration, and various subscription options for the size of the business.

Benefits

Gathering details about the clients’ processes was a much simpler task during the remaining workshops. The client was impressed with the changes that had been made, commenting on the efficiency of the sessions. The changes to our delivery ultimately helped the quality of the project going forward, due to:

  1. Better interaction from the client stakeholders with easier flowing sessions.
  2. Gaining detailed information from the client, supporting the work risual colleagues were delivering.
  3. Improved relationship with the client early on, showing our dedication to the success of the project.

This continuous improvement to our project delivery will benefit all future clients and is a great example of why we encourage our clients to continually improve their processes.
